Women Leaders Alliance (WLA Australia Ltd, trading as Women Leaders Alliance — “WLA”, “we”, “us” or “our”) cares deeply about your privacy. This policy explains, in plain language, what personal information we collect through our website and online services, how we use and protect it, and the choices and rights you have.
We are an Australian organisation with a global community, so we follow the 13 Australian Privacy Principles under the Privacy Act 1988 (Cth), the European Union's General Data Protection Regulation (GDPR), and, where relevant, the privacy laws of other countries in which we operate.

Our Privacy Principles
Whether under the Australian Privacy Principles or the GDPR, the same simple promises apply to everything we do with your personal information:

We collect only what we actually need.
We keep it accurate and up to date.
We keep it only for as long as we need it.

1. What Information We Collect
The kinds of personal information we may collect include your name, email address, phone number, country, language, organisation and role, payment and billing details (when you purchase membership, tickets or programs), your preferences and interests, and details of the programs, events and services you take part in.
Sensitive information. Occasionally we may need to collect sensitive information — for example, dietary or accessibility needs for an event, or health information relevant to your participation in a program. We only collect sensitive information with your consent, or where the law allows, and we handle it with extra care.
2. Dealing With Us Anonymously
Wherever it's practical, you can interact with us without identifying yourself, or by using a pseudonym — for example, when browsing our website or making a general enquiry. Naturally, some things do require your real details, such as becoming a member, registering for an event or making a payment, and we'll let you know when that's the case.
3. How We Collect Your Information
We collect personal information directly from you — and we'll always make it clear when we're asking for it, why we need it, and what happens if you choose not to provide it. Generally, we ask for information when you subscribe to our newsletter, become a member, apply to join a program, cohort or collective, register for an event, make a purchase, or contact us.
Information we didn't ask for. If we receive personal information about you that we didn't request and don't need, we will destroy or de-identify it as soon as practical, provided it's lawful and reasonable to do so.

We use your personal information to:
Provide our services to you — including membership, mentoring, leadership programs, events and resources.
Administer your membership and personalise your profile, registrations and program materials.
Process your payments, confirm your orders and send receipts.
Tell you about new programs, events, resources, member benefits and partnership opportunities.
Support connection, resources and growth opportunities across our global community of women in leadership.
Improve our website, services and member experience.
We only use your information for the purpose we collected it for, a directly related purpose you'd reasonably expect, or another purpose you've agreed to — unless the law requires or allows otherwise. If you provide your phone number, we may also use it to contact you if your emails bounce back, or if we suspect your payment card has been compromised or used fraudulently.
5. Direct Marketing and How to Opt Out
From time to time we'd love to tell you about our programs, events and offers. We'll only send you marketing communications if you've signed up for them or would reasonably expect them, and every email we send includes a simple unsubscribe link. You can opt out at any time by clicking that link or emailing us at info@womenleadersalliance.net, we'll action your request promptly, at no cost to you. Opting out of marketing won't affect important service messages, like receipts or event confirmations.
6. Consent
When you give us your personal information, you're agreeing that we can use it for the purposes described in this policy. If you'd rather not register or share your details, you're still welcome to browse our website — you just won't be able to access member services or areas that need registration. You can withdraw your consent, or change your communication choices, at any time by contacting us.
7. Who We Share Your Information With
Your information is never shared outside Women Leaders Alliance without your permission. Inside the organisation, access is limited to the people who genuinely need it, and data is stored on secure servers behind multiple firewalls.
Sometimes we need trusted service providers to help us deliver our services — for example, payment processing, email distribution, event registration and customer support. We only give these providers the information they need to do their job; they are bound by strict privacy obligations and cannot use your information for anything else.
In rare cases, we may need to disclose your personal information without notice — but only if the law requires it, or if we genuinely believe it's necessary to comply with legal process, protect the rights or property of Women Leaders Alliance, or protect the personal safety of our community or the public.
8. Sending Information Overseas
Women Leaders Alliance is a global movement, so your information may sometimes be shared with our teams, leaders or service providers located outside Australia — for example, cloud services or event partners in other countries. Before we send personal information overseas, we take reasonable steps to make sure it will be protected to a standard consistent with the Australian Privacy Principles and, for European users, the GDPR.
9. Government Identifiers
We will never use government-issued identifiers — such as tax file numbers, passport numbers or driver's licence numbers — as our way of identifying you in our systems, and we won't use or disclose them except where the law requires it.
10. Keeping Your Information Accurate
We take reasonable steps to make sure the personal information we hold about you is accurate, up to date and complete. You can help us by keeping your member profile current, and by letting us know when your details change.
11. Keeping Your Information Safe
We take strong security measures to protect your data from loss, misuse, unauthorised access, disclosure, alteration or destruction. Sensitive data is stored behind multiple firewalls on secure servers with restricted access, and is managed under our Cyber Security & Data Governance Policy (WLA-POL-26).
All online transactions use the latest security measures and technologies, including Secure Sockets Layer (SSL) encryption when you place orders or send us sensitive information — one of the safest ways of passing information over the internet.
How long we keep your information. We keep your information only as long as we need it to provide our services, meet our legal obligations, or for the other purposes described in this policy — such as preventing fraud, resolving disputes or assisting investigations. Information linked to your account is generally kept until it's no longer needed, you ask us to delete it, or your account is closed — whichever comes first. When we no longer need your personal information, we take reasonable steps to destroy it or de-identify it, in line with our Records Management Policy (WLA-POL-25).
12. Accessing Your Information
You have the right to see the personal information we hold about you. The easiest way is to log in to your member account, where you can view and update your details at any time. You can also email us at info@womenleadersalliance.net and ask for a copy of your information. We'll respond within a reasonable time — usually within 30 days — and there's no charge for making a request. In the rare cases where the law allows us to refuse access, we'll explain why in writing and tell you how to complain if you disagree.
13. Correcting Your Information
If any of your information is inaccurate, out of date, incomplete or misleading, you can correct it yourself in your member account, or ask us to correct it — free of charge. We'll make the correction within a reasonable time. If we've shared the incorrect information with anyone else, you can ask us to let them know about the correction, and we'll take reasonable steps to do so. If we don't agree the information needs correcting, we'll explain why in writing, and you can ask us to attach a statement to your record noting that you believe it's inaccurate.
14. Your Rights Under the GDPR (EU and EEA Users)
If you usually live in the European Union or European Economic Area, you have additional rights under the GDPR. In plain terms, you can:
Access your personal data, and receive a copy of it in a portable format.
Have your data corrected, deleted, or restricted from certain uses.
Object to certain processing, including profiling for direct marketing.
Ask us not to send you marketing communications at all.
Some of these rights apply generally and some only in particular circumstances. To exercise any of them, just contact us at the details at the end of this policy. You can opt out of newsletters and marketing at any time using the unsubscribe link in our emails — service messages about your account won't be affected.
15. Cookies, Linked Websites and Third Parties
This policy applies to information collected through our website, online services, registration forms and communications. Our website contains links to third-party websites. We're not responsible for how those third parties handle your information, so we encourage you to read their privacy policies before sharing anything with them.
Where third-party advertising or analytics services are used on our site, they may use cookies, pixels or web beacons to measure and improve their services. These tools use anonymous information about your visits — such as the date and time an ad was shown, the ad itself, a cookie and an IP address — and do not identify you personally. If you'd like to prevent third-party advertisers from collecting data, you can opt out through each ad network individually or via the NAI gateway opt-out site (optout.networkadvertising.org).
As with everything online, it's possible for third parties to unlawfully intercept transmissions, or for other users to misuse information you choose to share publicly — so please think carefully about what you post.
16. Changes to This Policy
If we change this Privacy Policy, we'll post the updated version here so you always know what information we collect, how we use it and when we might disclose it. If we ever decide to use your information in a way that's different from what we said when we collected it, we'll notify you by email first. The current approved version of this policy is maintained by the Company Secretary and published on the Women Leaders Alliance website.
17. Questions, Concerns and Complaints
If you have a question about this policy, or you believe we haven't handled your personal information properly, please tell us — we take every concern seriously. Privacy complaints are handled under our Complaints Policy (WLA-POL-14), and suspected data breaches are managed under our Cyber Security & Data Governance Policy (WLA-POL-26), including notification under the Notifiable Data Breaches scheme where required.
